Form I-9 – Section 2:

Once Section 1 of the form has been completed by the new hire, Section 2 of the form is to be filled out by the employer within three business days of the new hire’s first day of employment.

 

To complete Form I-9, Section 2:

1.   On the Management Navigation bar, click HR Administration > Applications > Employee Onboarding.

2.   Select the new hire’s name to view the details regarding the individual’s progress.  The details on the Employee Onboarding Detail page displays.

3.   In the Internal Tasks Progress section, click the displayed Form I-9, Sec 2 option (accessible when the new hire has completed Section 1 of the form and has electronically signed).

Note:  If any discrepancies are found between the information on the employee record/EAN and what was entered in Section 1 by the new hire, take the needed actions (as outlined in Section 1 steps) to address the identified discrepancies.

4.   To complete Section 2 of the form, indicate which document(s) have been provided by the new hire per I-9 requirements.  Employers are to either a) physically examine one document from List A or b) examine one document from List B and one document from List C.

5.   If desired, enter any notes in the Additional Information section to have them recorded in the respective section of the form.

6.   In the File Attachments section, you are able to upload any documents that are related to the verification process.

7.   To proceed with the completion of the form, click the Continue button.

If the form is not yet ready for submission, click the Save & Return Late button to record any changes made to the form.

Note:  A diagnostics window will display any informational warnings for you to review (and take action if necessary) before proceeding with the submitting the form.  If critical errors are present, the page will highlight which areas need to be addressed.

8.   Upon clicking Continue (and addressing any critical errors), the Review and e-Sign Form I-9 page displays with an actual copy of the form your review.  If any changes are needed, click the Make Changes button.  Otherwise, click the e-Sign and Submit button to record that the form is finalized.

Result:  The internal task for Form I-9, Sec 2 is marked as complete.  By clicking on the internal task, you are able to view the form details, print a copy of the completed form, or choose to make changes.
