Form I-9 Audit Trail
With the legal requirement for all U.S. employers to complete an I-9 Form for each employee, any organization may be required by the U.S. Immigration and Customs Enforcement (ICE) to go through an inspection. In this process, ICE agents or auditors review the completion and record-keeping process for I-9 Forms to ensure that they are performed within compliance. In the event that your organization is asked to go through such an inspection, and to aid in the promptness of providing information in an acceptable format, the Onboarding Utility provides an audit trail for each Form I-9 completed within the ExponentHR system. This includes noting when the candidate initially logged in to the Onboarding Portal, when the form was first accessed, and a record of all values entered/changed on the form.
To access an I-9 Form audit trail:
1. On the Management Navigation bar, click HR Administration > Applications > Employee Onboarding.
The Onboarding Dashboard displays.
2. Click on the new hire’s name to view the details regarding the individual’s progress.
The details on the Employee Onboarding Detail page displays.
3. In the Documents section, click on the displayed Form I-9 option (accessible when both sections of Form I-9 have been e-signed).
The audit trail is displayed on the last page when viewing the Form I-9.
