Upon starting the onboarding process for an individual, the status may easily be monitored through the Onboarding tab of the Employee Onboarding dashboard. This displays the number of tasks that need to be completed as part of the onboarding process and how many have already been completed, offering a quick way for management users to see which new hires are on schedule or are not meeting the set deadlines.
To view/edit a candidate’s onboarding progress:
1. On the Management Navigation bar, click HR Administration > Applications > Employee Onboarding.
The Onboarding Dashboard displays.
2. Click on the new hire’s name to view the details regarding the individual’s progress.
3. To make an overall change to the onboarding process for an employee, click the Actions button and choose from one of the following available drop-down list options:
Re-Send Onboarding Invitation
When the onboarding process is initiated for a new hire, they receive a system-generated email containing a link to the Onboarding Portal. Any onboarding tasks required of the new hire is handled directly through the Onboarding Portal, providing you visibility to the progress being made. In the event that the link needs to be resent to the new hire (ex. a different email address), select the Re-Send Onboarding Invitation option.
Assign Onboarding Coordinator
The Assign Onboarding Coordinator option may be used to transition the responsibility of overviewing the candidate’s onboarding process to an alternate user with appropriate access rights.
Cancel Onboarding
In the event that an onboarding candidate is no longer being considered for employment and onboarding needs to be canceled mid-process, select the Cancel Onboarding option. In doing so, the respective hiring EAN will be cancelled and the individual will no longer be able to perform any onboarding actions.
Complete Onboarding Early
Select the Complete Onboarding Early option to cease the use of onboarding for the individual by marking the current onboarding status as “Complete.” In doing so, the onboarding tasks will no longer be accessible to the employee or internal task owners.
Re-Open Onboarding
Select the Re-Open Onboarding option to reverse the decision to cancel the onboarding process for an individual. Upon re-opening, the process will maintain the template and tasks that were in place upon cancelling.
Change Onboarding Template
The Change Onboarding Template option may be used when wanting to switch the onboarding process of an individual to an alternate template. This will automatically assign to the employee and/or other individuals any additional tasks that are associated with the new template and now need to be completed as part of the onboarding process.
4. The New Hire Task Progress section displays all tasks that are to be completed by the new hire and the current status of each task.
If desired, use the Actions drop-down list to modify the tasks to perform, alter the due date, send reminders, or update the status of a task.
