Setting up task

Let’s dig a little bit deeper into employee e-signed documents. Again, each one of these tasks, based on the task type you have, will always have these four tabs:

  • General Settings
  • Task Details
  • Notifications
  • Display Conditions

To configure your tasks, you will work the tabs from left to right.

 

 

General Settings

First, give your task a title and provide instructions on what the employee needs to do. The discretionary setting grants permission to a manager to add or remove this task to a template.

 

 

Next fill in your task start and deadlines. You can customize deadlines with start dates or with relating to other tasks. For example, an employee may need to e-sign a company handbook before their first day of employment.

 

 

Task Details

The Task Details tab will look different based on the task type that you assign. Because we selected e-sign a document in this example, the system asks if this document currently exists in the document management tool.

 

 

If you’re using an existing document, first identify the folder where you’ve placed your document. In this case, this handbook lives in Company Policies.

 

 

Under Document, you can see Employee Handbook.

 

 

If a document hasn’t yet been uploaded to Document Management, you can add it now. Click Add New Document and then give it a description or a title. Browse your computer to attach and upload the file.

 

 

Notifications

Notifications will drive automatic emails based on the different stages of the activity. You can select whom to alert regarding a task start or completion date, and set the conditions and timeframe of those alerts.

 

 

Display Conditions

Display Conditions allows you to create conditional coding that will only display for employees who meet certain criteria. For example, if uploading a certification or license only applies to a particular job, company, or location-department, you can create a task that only appears for people who meet the criteria.

 

 

You can create as many tasks as you need, as well as multiple tasks of the same type. So, if you have three documents that need to be e-signed, you would create three different e-sign tasks.
